edentine helps dental clinics manage clinic operations, patient records, appointments, billing, follow-ups, and optional WhatsApp communications. This policy explains what information we handle and how we protect it.
Information we may collect
- Clinic information: clinic name, address, contact details, doctors, working hours, services, settings, and subscription or access information.
- User information: names, email addresses, roles, login credentials, access permissions, and account activity.
- Patient information: names, contact details, demographic information, medical and dental history, notes, allergies, medications, consent records, and documents entered by the clinic.
- Appointment and follow-up information: dates, times, providers, reasons, reminders, status history, and related clinical or administrative notes.
- WhatsApp information: clinic WhatsApp Business account settings, phone number identifiers, approved template settings, encrypted access tokens, provider message IDs, delivery statuses, and failure details when WhatsApp API messaging is enabled.
- Billing information: invoices, payments, procedures, fees, payment status, and related accounting records. Payment card details are handled by the applicable payment provider when used.
- Technical information: IP address, browser and device information, timestamps, request and security logs, and information needed to operate and protect the service.
How we use information
We use information to provide and secure edentine, support clinic operations, manage accounts and permissions, maintain patient and appointment records, generate reminders and follow-ups at the clinic’s direction, process billing records, troubleshoot issues, prevent misuse, and comply with legal obligations.
WhatsApp and service providers
When a clinic enables WhatsApp API messaging, relevant message data is sent to Meta Platforms, Inc. and its WhatsApp Business services so Meta can process the message and return provider status updates. edentine may also use hosting, infrastructure, security, email, analytics, and payment service providers to operate the service. Providers receive only information needed for their service and are expected to protect it. edentine does not sell personal information.
Storage and protection
Clinic data is isolated by tenant and access is controlled by account role and permissions. WhatsApp access tokens are encrypted at rest and are not returned in full to the frontend. We use HTTPS, authentication controls, restricted server access, backups where configured, and reasonable technical and organizational safeguards. No security measure can guarantee absolute protection.
Retention
We retain information for as long as needed to provide the service, maintain clinic records, meet contractual and legal requirements, resolve disputes, prevent abuse, and maintain secure backups. Clinics may request deletion of eligible data; some records may need to be retained where required by law or legitimate operational obligations.
Your rights and deletion requests
Subject to applicable law, individuals may request access to, correction of, or deletion of personal information, and may ask about how it is used. Patients should normally contact the clinic that entered or controls their records. Clinics or account users may contact us at privacy@edentine.com for privacy questions or deletion requests. We may need to verify identity and authority before acting.
Cookies and technical logs
edentine uses essential cookies or similar session technologies to keep users signed in and protect the service. We also maintain technical and security logs such as access times, IP addresses, browser details, errors, and API events. These are used for authentication, reliability, security, diagnostics, and abuse prevention. Disabling essential cookies may prevent the application from working correctly.
Policy updates
We may update this policy when the service, legal requirements, or privacy practices change. The latest version will be posted on this page with a revised “Last updated” date. Material changes may also be communicated through the service or to account administrators.
